This Privacy Policy explains what personal information William Falconer, doing business as Vital Animal ("Vital Animal," "we," "us," "our") collects when you use my.vitalanimal.com, where you buy and take our courses, manage your membership and take part in our community (the "Service"), and what we do with it.
The short version: we collect what we need to sell you our products, give you access to them, support you and stay in touch. We do not sell your personal information.
1. INFORMATION WE COLLECT
Information you give us
- Contact and account details: your name and email address, and any profile details or photo you choose to add.
- Order details: what you bought, when, the price, any coupon used, and your billing address. For physical products, your shipping name and address.
- Payment details: payments are handled by Stripe or PayPal. Your full card number and security code go directly to them and never reach our servers. We receive limited details, such as the card type, last four digits, expiry date and a payment reference.
- Things you post: lesson comments, community posts and replies, reactions, poll answers, event RSVPs, messages, and files or images you upload.
- Messages to us: emails and other messages you send to our support team, and your answers to any forms or surveys.
Information we collect as you use the Service
- Learning activity: the courses you are enrolled in, lessons you open and complete, quiz results, and video viewing activity.
- Sign-in and device information: the date and time you sign in, your IP address, browser and device type, and approximate location (city or region) derived from your IP address.
- Usage information: the pages you view, the links you click, the page that sent you to us, and campaign information contained in the link you followed.
- Email activity: whether our emails were delivered, opened or clicked, and whether you unsubscribed.
Information from others
- Payment processors tell us whether a payment succeeded, failed, was refunded or was disputed.
- If you were a customer before we moved to this site, we brought your contact, purchase, enrollment, comment and community records over from the systems we used previously.
We do not ask for sensitive personal information such as government ID numbers or information about your own health. Please do not post it in the community.
2. HOW WE USE YOUR INFORMATION
We use personal information to:
- process orders, payments, renewals, refunds and shipments;
- create your account, send sign-in links, and give you access to what you bought;
- run courses and the community, including showing your name, profile and posts to other members, and sending notifications you have asked for;
- send service messages, such as receipts, renewal and billing notices, access information and policy updates;
- send our newsletter and information about our courses and products, where you have subscribed or the law otherwise allows. You can unsubscribe at any time;
- answer your questions and provide support;
- understand how the Service is used and improve our courses, pages and checkout;
- prevent fraud, abuse and security incidents, and enforce our Terms;
- keep business, tax and accounting records, and comply with the law.
We do not use your personal information to make automated decisions that have legal or similarly significant effects on you.
3. COOKIES AND ANALYTICS
We use a small number of cookies and similar technologies:
- Essential cookies keep you signed in, remember your checkout and preferences, and protect our forms from automated abuse. The Service does not work without them.
- Analytics. We use Google Analytics to understand, in aggregate, how visitors use the Service. Google sets cookies and collects usage data, such as pages viewed and approximate location, for this purpose. You can opt out with Google's browser add-on at tools.google.com/dlpage/gaoptout, or by blocking cookies in your browser.
- Video. Course videos are delivered by Wistia, which records viewing activity, such as how much of a video was played, so that we can track progress and improve lessons.
- Email. Our emails may contain small tracking images and tracked links that tell us whether an email was opened or a link was clicked.
We do not use advertising cookies on my.vitalanimal.com. Because there is no common standard for browser "Do Not Track" signals, the Service does not respond to them.
4. HOW WE SHARE INFORMATION
We do not sell your personal information, and we do not share it with other companies for their own advertising.
We share personal information only as follows:
- Service providers that work for us, and only as needed to do that work: payment processing (Stripe, PayPal); email delivery and email marketing (Kit, Resend); customer support (Help Scout); video hosting (Wistia); analytics (Google); security and bot protection (Cloudflare); website and database hosting; and internal team tools.
- The pharmacy that prepares and ships physical products receives your name, shipping address and order details, to fulfil your order.
- Other members see what you choose to share in the community: your name, profile details and photo, your posts, comments and reactions, and events you have said you will attend. Private messages are visible to the people in the conversation, and may be reviewed by our team when investigating a report or misuse.
- Recent-purchase notices. Our websites may show a brief notice that someone recently bought a product, using the buyer's first name, last initial and city, for example "Mary S. from Austin." If you would rather not be included, email support@vitalanimal.com and we will exclude you.
- Legal and safety. We may disclose information if required by law or legal process, or where needed to protect the rights, property or safety of our customers, the public or us, including to investigate fraud.
- Business transfers. If our business, or the relevant part of it, is sold, merged or reorganized, personal information may be transferred to the new owner, who must continue to honor this policy.
We may share information that has been aggregated or de-identified so that it cannot reasonably be linked to you.
5. HOW LONG WE KEEP INFORMATION
We keep personal information for as long as we need it for the purposes above:
- Account, enrollment and learning records: for as long as your account is open, so that you keep access to what you bought.
- Order and payment records: for as long as required for tax, accounting and legal purposes, generally at least seven years.
- Community posts and comments: until you or we delete them. If you close your account, your posts may remain without your name so that discussions stay readable, unless you ask us to remove them.
- Support messages: for as long as needed to help you and keep a record of what was agreed.
- Marketing records: until you unsubscribe. After that we keep your email address on a suppression list so that we do not email you again.
- Checkout details for orders that were not completed are removed after a short period.
When we no longer need information, we delete it or de-identify it.
6. YOUR CHOICES AND RIGHTS
Whatever your location, you can ask us to:
- give you a copy of the personal information we hold about you;
- correct information that is wrong or out of date;
- delete your personal information, subject to records we must keep by law, such as order and tax records;
- stop sending you marketing emails. Use the unsubscribe link in any marketing email, or email us. We will still send messages needed for your purchases and account.
You can update your profile details on your Account page. To make any other request, email support@vitalanimal.com from the address on your account. We may ask for information to confirm your identity. We respond within 45 days, or sooner where the law requires. We will not treat you differently for making a request.
U.S. state privacy laws. Depending on where you live, you may have additional rights, including the right to appeal if we decline your request. To appeal, reply to our decision and say that you are appealing. If you are not satisfied with the outcome, you may contact your state's attorney general. We do not sell personal information and do not use it for targeted advertising, so there is nothing to opt out of in that respect.
California "Shine the Light." We do not disclose personal information to third parties for their own direct marketing purposes.
7. VISITORS FROM OUTSIDE THE UNITED STATES
We are based in the United States, and your information is stored and processed in the United States and in other countries where our service providers operate. These countries may have data protection laws different from those where you live. Where the law requires, we rely on appropriate safeguards, such as standard contractual clauses, for these transfers.
If you are in the European Economic Area, the United Kingdom or Switzerland:
- Our legal bases for using your information are: performing our contract with you (orders, access, support); our legitimate interests in running, securing and improving the Service and telling customers about similar products; your consent, where we ask for it (such as newsletter sign-up), which you can withdraw at any time; and compliance with legal obligations.
- In addition to the rights in Section 6, you may object to or ask us to restrict certain uses of your information, ask for your information in a portable format, and complain to your local data protection authority.

8. SECURITY
We use reasonable technical and organizational measures to protect personal information, including encrypted connections, password-free sign-in by emailed link, restricted staff access, and payment processing by providers certified to card-industry standards. No system is perfectly secure, and we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as the law requires.
Please help by keeping your email account secure and not forwarding your sign-in links.
9. CHILDREN
The Service is for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, email support@vitalanimal.com and we will delete it.
10. LINKS TO OTHER SITES
The Service may link to websites we do not run, including our own public website at vitalanimal.com, which may use different cookies and tools. This policy covers my.vitalanimal.com. Please check the privacy information on any other site you visit.
11. CHANGES TO THIS POLICY
We may update this policy from time to time. We will post the updated version here with a new effective date, and if a change is significant, we will tell you by email or by a notice on the Service before it takes effect.
